Executive Assistant

Partner’s office and the position is located in Washington DC.

The Position:
The Executive Assistant provides administrative support for the Chief Executive Officer and other C suite Officers, as well as with a broad range of general administration and office operation functions for the organization. Position is full-time.

Key Responsibilities:
Scheduling and Meeting & Event Logistics:
• Maintain calendar for CEO: Schedule Appointments, Arrange Internal and External Meetings
• Manage the scheduling of all Board and Committee Meetings
• Manage master calendar for organization
• Manage all meeting logistics, including meeting materials and supplies, catering, and event space
• Manage travel accommodations for Board members and senior staff, catering, and event space
• Manage communications with Board and committee members
• Record and edit meeting minutes
Information Technology
• Manage Salesforce database including data entry and report creation.
• Manage digital records
General Operations Management
• Create correspondence, proofread, and manage documents, as needed, for CEO
• Prepare and edit documents, including expense reports, invoices, presentations
• Support Chief Executive Officer, Chief Financial Officer and Controller on special projects
• Assist with sensitive human resource and employee information
• Assist with a variety of office management duties, including managing office supplies, management of digital records, supports the CEO and CFO on special projects
• Manage office supply inventory and supply room/closet
• Manage rotating staff schedule of kitchen duties and maintain kitchen supplies
• Other tasks as required

Requirements:
• Very strong organizational, time management, and problem solving skills
• Ability to multi-task, meet deadlines, and efficiently manage multiple projects
• Must be a self-starter with keen attention to detail
• Ability to adapt to meet changing priorities
• Strong interpersonal communication skills
• Good written communication skills
• Discretion and judgement in handling sensitive information
• Knowledge of office management, procedures, and policies
• Must possess strong proficiency in Microsoft Office products (Excel, Word, PowerPoint)
• Experience managing contact management databases; familiarity with Salesforce is a plus.
• Bachelor’s degree (preferred) or a high school diploma (or GED) and at least 8 years of prior experience as an executive assistant or in a similar administrative role.
• Willingness to work from Partners’ physical office for a minimum of three days each week. Partners operates on a hybrid work schedule (Tuesday, Wednesday and Thursday in office; Monday and Friday optional remote work).

Compensation:
Competitive salary commensurate with experience, starting at $60,000 - $80,000. Medical, Dental, Vision, Life & Disability coverage available. Retirement plan (employer matching and profit sharing); paid vacation, sick leave days, and holidays. Partners is an equal opportunity employer.
